A cover letter tells the visa officer, in one page, who you are, why you are travelling, who is paying and why you will come home. Some countries ask for one, and for others it is a simple way to make your file easier to read. Below is what to include, a template you can copy, and a Word version to download.
In this guide
Which countries ask for one
A typed cover letter stating your purpose, dates and who pays for the trip.
Country guideNot on the official list, but a short letter helps explain your plans, finances and ties to Pakistan.
Country guideJapan asks for a letter from your employer or organisation confirming the trip, if you have one.
Country guideThe six parts of a good cover letter
- 1
Your details and the date. Name, address, phone and email, exactly as in your passport and application form.
- 2
A clear subject line. The visa type, your full name and your passport number.
- 3
Purpose and dates. Where you are going, why, and the exact dates. They must match your bookings and itinerary.
- 4
Job, money and ties to Pakistan. Your work, approved leave, who pays, and why you will return: job, family, property or studies.
- 5
A list of what you have enclosed. It helps the officer find each document.
- 6
Your signature and name. Sign by hand after printing.

Replace everything highlighted in yellow and delete lines that do not apply. Letters to embassies are written in English.
Mistakes that weaken an application
- Dates that do not match. Your letter, flight reservation, hotel booking and leave letter must all show the same dates.
- Copying a template word for word. Officers read many letters. Write about your own trip, in your own plain words.
- Claims you cannot prove. If you mention a salary, business or sponsor, attach the documents that show it.
- Leaving out who pays. Say clearly whether you or a sponsor is paying. If a sponsor pays, add a sponsorship letter.
- Making it long. One page is enough. The officer wants facts, not a story.
We prepare the cover letter and check every document when we handle your application.
Questions people ask
Is a cover letter compulsory?
For some visas, yes: Turkey’s sticker visa asks for a typed cover letter, and Morocco’s embassy visa lists one. For others it is optional but helps the officer understand your file.
Who do I address the letter to?
Address it to “The Visa Officer” at the embassy, consulate or visa application centre where you apply.
Should the cover letter be in Urdu or English?
Write it in English. Embassies and visa centres in Pakistan work in English.
Should I sign the cover letter?
Yes. Print it and sign it by hand. If you upload it to an online application, scan the signed copy.
Visa rules change often. We confirm the current requirements and fees before you pay. A visa does not guarantee entry.
